Paper and spreadsheets vs. B OnSite
What changes in practice when site administration moves from spreadsheets and paper to a platform.
| Criterion | Paper and spreadsheets | B OnSite |
|---|---|---|
| Expiry tracking | A manual calendar or reminder, deadlines easily slip. | Automatic notifications about expiring contracts, certificates and medical checks 60, 30 and 14 days before expiry, with a dashboard of expiring and expired documents. |
| Auditability | Changes are hard to trace, and documents have to be hunted down during an inspection. | Every document action is logged: view, download, edit, approval. Full audit trail. |
| Document versions | Several copies circulate, and it is not always clear which one is current. | Every version of every document is kept, with a full change history. |
| Subcontractor documents | Certificates arrive by email and on paper, and missing ones have to be requested one by one. | Subcontractors have their own login and can upload documents themselves (for example an insurance certificate), with version control. |
| Access control and permissions | A shared file or folder is visible to everyone who has access. | Each subcontractor sees only their own projects, people and documents, with multi-level access control. |
| Real-time headcount | The attendance sheet comes together at the end of the day, so there is no accurate picture until then. | An instant view of who is on site and in which zone, supporting emergency evacuation. |
| NIS2 and GDPR logging | Retention deadlines and data handling records have to be kept by hand. | A detailed data processing log for GDPR audits, automatic deletion of visitor data after the retention period, data stored on EU servers, NIS2-compatible operation. |
| Recording working time | Paper attendance sheet or spreadsheet, transcribed afterwards. | Clock in and clock out from the employee's own phone browser, no app. The system flags a missing day, and a correction leaves a trace. |
