WEST HUNGÁRIA BAU: truck gate, visitors and HR documents in one system

The construction company WEST HUNGÁRIA BAU manages its truck gate, visitors, HR documents and working time in B OnSite.

The task

On a construction site, the company's own staff, visitors and trucks are present at the same time. When access, visitors, vehicles and employee documents are kept on separate sheets and spreadsheets, it is hard to say who is on site, whose documents are valid, and when a vehicle arrived.

WEST HUNGÁRIA BAU uses a single system for these tasks.

The solution

WEST HUNGÁRIA BAU uses the following areas of B OnSite: the truck gate, visitor management, HR and document management, and full working time tracking.

Truck gate

In the truck gate module, the gatekeeper records the arriving vehicle and the driver, takes a photo and writes a note on the check. Entry and exit are logged with a timestamp, and traffic can be followed in a report.

Visitor management

The system records the visitor and the colleague they are visiting. It can be set so that the visitor must provide an ID document. The visitor's movements are logged and can be looked up at any time.

Glass gate access project

WEST HUNGÁRIA BAU also ran a glass gate access project with B OnSite. The site location and equipment are not disclosed.

HR and document management

Every document on an employee record has a validity period, so expiring documents can be tracked separately. Contracts are produced from the company's own .docx template, so data does not have to be retyped. Documents awaiting approval are in a single list, and signing is digital, in the portal, with the time recorded.

Full working time tracking

The system calculates working hours from gate movements and flags unpaired movements. The timesheet is submitted and approved by the person in charge, and the data can be exported to Excel.

What this means in daily operations

  • Data on access, visitors, vehicles and employee documents is in one system, not in separate lists.
  • Visitor and vehicle movements are logged with a timestamp and can be looked up.
  • Expiring employee documents can be tracked separately.
  • Contracts are produced from the company's own template, so data does not have to be retyped.
  • Working hours are calculated from gate movements, and unpaired movements are flagged.

This case study is a general description. The site location, equipment and protection details are not disclosed.
